The PF ECR file, demystified
The ECR (Electronic Challan-cum-Return) is the monthly text file employers upload to the EPFO portal to declare member-wise PF wages and contributions and generate the payment challan. Each row carries a member's UAN, wages, and the EPF/EPS contribution amounts for the month.
What EPFO validates
The portal validates the file structure, UANs and arithmetic — wages against contribution amounts under the 12% and EPS-cap rules. Rejections usually trace to formatting drift, wrong wage bases, or hand-edited rows that broke the math.
Why hand-built ECRs fail
Building the ECR in a spreadsheet means re-deriving every member's split (employee 12%, employer EPS/EPF split with the ₹15,000 cap) outside payroll — a second implementation of the same formula, which is exactly where divergence breeds.
In Flocci Work Suite
The ECR text file is generated from the finalized payroll run's locked data — the same numbers on the payslips — so the upload passes validation for the boring reason that it was never re-derived.
Frequently asked questions
- How often is the ECR filed?
- Monthly — the ECR upload declares contributions and generates the challan for that wage month's PF remittance.
- What data does each ECR row contain?
- Member identification (UAN), PF wages, and the month's contribution amounts across EPF and EPS per the statutory split.
- Can I generate the ECR from Flocci Work Suite?
- Yes — every finalized payroll run exports a portal-ready PF-ECR text file from its locked data.
